In this policy, personal information and sensitive information have the same meanings as under the Privacy Act 1988 (Cth) (Privacy Act). Generally speaking, personal information includes information or an opinion about an identified individual or an individual that is reasonably identifiable. Sensitive information includes health information, racial or ethnic background, sexual orientation or practices, criminal record, biometric information, religious, political or philosophical beliefs and membership of a union or political or professional association.

This policy sets out how we collect, use, store and disclose your personal information. We may change this privacy policy from time to time by publishing changes to it on our website. We encourage you to check our website periodically to ensure that you are aware of our current privacy policy.

  • We will generally collect your personal information directly from you, but in some cases we may also collect personal information about you from others who provide the information to us.     We typically collect and hold your personal details, such as your name, address, email address and phone number. Depending on the type of contact you have with us, we may also collect additional types of personal information and sensitive information in the following circumstances:

    • if you apply for a scholarship, grant or bursary with us, we may collect additional information about you and your family members in connection with your application. This may include sensitive information about you, such as health information or details of your cultural background, if you choose to disclose it to us. We will not collect sensitive information about you without your prior consent;

    • if you make a donation to us, we may collect your banking details and any other information required to facilitate our acceptance of your donation; and

    • if you volunteer with us, we may collect:

    o your employment history, education and qualification details;

    o your referee names and contact details;

    o information we are required to collect by law, such as any working with children accreditations or checks about you; and

    o information about any previous interactions you may have had with us.

    We collect your personal information so we can identify you and interact with you, for the purposes described above and in any privacy collection statement we give to you. How much personal information you choose to disclose to us is completely up to you but limited information may mean we are unable to provide you with the relevant information or assistance that you are seeking.

    Information about children

    If consent is required and the information we collect is about a child under 18 years of age who is not living independently, we will usually obtain the consent of a parent or guardian.

    From time to time, if we are collecting information about a child over the age of 15, we will seek their written consent directly if the child appears to understand what it means to give consent.

    Web information

    When you visit our website, the relevant site server by automated means (such as cookies) makes a record of the visit and collects the following information:

    • your server address – to enable us to tailor our website to your interests and requirements;

    • the date and time of your visit– to enable us to know our website’s busy times;

    • pages accessed and documents downloaded – to inform us about popular and important documents;

    • duration of the visit – to tell us how interesting and informative the website is to you;

    • the type of browser used – for browser specific coding; and

    • your domain name or IP address, computer operating system, browser type and screen resolution - to enable us to optimise the website for different browsers.

    Storage and security of information

    We will take reasonable steps to protect your information and to protect information from loss, misuse, and unauthorised access, use, modification, disclosure, alteration, or destruction.

    Why do we use and disclose personal information?

    Personal information: We will only use and disclose your personal information for the purposes for which you provide it or a related secondary purpose which you would reasonably expect. This includes, for example:

    • providing you with any information or details that you have requested from us;

    • providing you with email newsletters to which you have specifically subscribed;

    • publishing profiles and stories on our website and newsletters;

    • responding to any enquiries, feedback or complaints made by you;

    • registering your attendance for one of our events;

    • assessing any applications for scholarships, grants or bursaries you submit to us;

    • facilitating any donations you make to us; and

    • assessing any application to volunteer with us.

    We may disclose your personal information to:

    • The Mac.Robertson Girls' High School;

    • The Palladians Association;

    • other companies or people that we have your consent to share the information with; and

    • contractors and third party service providers that we engage in the ordinary course of our business where reasonably necessary to enable us to perform our functions.

    We may disclose personal information outside of Australia to third party suppliers (such as cloud storage providers) that may receive, access, host or store your information in overseas locations. If the recipient is outside Australia, we take reasonable steps to ensure that your personal information is handled by the recipient in a way that is consistent with the Privacy Act and our instructions.

    We, or third parties engaged to act on our behalf, may contact you from time to time with marketing material about our operations and programs, where you have consented to this or where we believe you would reasonably expect us to do so. You may opt out of receiving this material at any time by taking the steps in any “unsubscribe” instructions we send to you or by contacting our Privacy Officer.

    Sensitive information: We will never disclose your sensitive information unless we have your consent or are required by law to do so.

    Web information: This information will be used only for statistical and administrative purposes.

    Retention and destruction of personal and sensitive information

    We will destroy or de-identify your personal and sensitive information as soon as practicable once it is no longer needed for the purpose for which it was collected. However, we may be required by law to retain your personal information after your relationship with us has expired. We will take reasonable steps and use appropriate techniques and processes in destroying information.

    Accessing or correcting your personal information

    You may request access to information we hold about you by contacting the Privacy Officer, whose contact details are set out below. If it is information that you are entitled to access, we will endeavour to provide it to you in a suitable way (e.g. by email or mail). We may charge you a fee to cover our administrative costs of providing access to your information, but we will not charge you for making an access request.

    You may request that we update, correct or amend the personal information we hold about you. We will either amend the information or, if we do consider that the information does not need to be amended, we may instead make a record of your request.

    We may need to verify your identity when you request access to, or the correction of, your personal information. Sometimes, we may not be able to provide you with access to all of your personal information and, where this is the case, we will tell you why.

    This policy is effective from 19 February 2024. We may change this policy from time to time. Although we intend to observe this policy at all times, it is not legally binding on The Mac.Rob Foundation in any way. From time to time we may regard it as necessary or desirable to act outside the policy. The Mac.Rob Foundation may do so, subject only to any other applicable contractual rights you have and any statutory rights you have under the Privacy Act or other applicable legislation.
